01 / Tell us what the storage needs to do.
Start with the delivery address, the reason for the rental and the dates. Describe what will be stored, the required holding conditions and the product’s temperature when it arrives. Include container or rack dimensions, approximate quantities and total weight.
Tell us how the space will be used. Frequent kitchen access, a concentrated event service and occasional overflow access can create different needs. If any detail is still unknown, say so rather than guessing.
02 / Check the equipment and the site together.
The proposed equipment must fit both the inventory and the location. Share photos of the entrance, parking area, unloading route and available power. Include gate restrictions, access hours and the name of the person who can approve placement.
Confirm the actual unit’s usable space, loading arrangement, operating requirements and permitted use. Resolve electrical compatibility and any required accessories before delivery. The planned arrival time also needs to allow for setup and preparation before inventory is loaded.
03 / Review the full rental scope.
The quote should describe the equipment, dates, delivery and collection windows, total charges and agreed responsibilities. Check the rental period, both transport trips and any applicable extras together.
Ask about changes you can reasonably foresee. A repair may overrun; a venue may limit pickup hours. Understand extension, rescheduling and return terms before accepting the rental.
- Who supplies power and any approved accessories?
- Who handles operating checks and interruption reporting?
- What must happen before the rental is confirmed?
04 / Confirm the booking and prepare for handover.
A confirmed rental requires agreed terms, completion of the stated payment requirements, and secured equipment and transport. Use the confirmation to coordinate your site contact and any contractor or venue team.
Before delivery, clear the agreed access route and prepare the parking position and power supply. At handover, review the equipment condition, setup and operating instructions. Confirm who is responsible during the rental and how to report a problem.
05 / Plan collection before the last day.
Keep track of the agreed end date. If more time is needed, request an extension early; continued availability and the revised price need confirmation. Do not assume the trailer can simply remain in place.
For pickup, remove the contents, meet the agreed return conditions and keep the access route clear. Confirm the collection window and any final charges or deposit handling against the rental terms.
Common questions
Does a request reserve equipment?
No. Treat the rental as booked only after the terms, payment requirements, equipment and transport have been confirmed.
Can I call before I know the exact dates?
Yes. Explain your target window and what is uncertain. Exact availability and a booking will still depend on confirmed dates and scope.
Who should be the site contact?
Choose someone able to coordinate access, placement and power, and to receive the equipment or arrange the agreed handover.
